Invoice operations digitalisation

A German client had invoice work spread across inboxes, manual checks and handovers. The project brought those steps into a more structured process.

The problem

People had to keep checking status and moving information between steps.

When something was missing, it also had to be followed up manually. That made it harder to see where an invoice was and what still needed attention.

The engagement

The work covered the process, implementation, testing and stabilisation.

The focus was not a single automation. The whole operating path had to remain understandable once people started using it.

What the process covered

From intake to the next financial and record-keeping step.

Incoming invoices

Documents enter an agreed intake route.

Extraction and validation

Relevant information is captured and checked before later steps depend on it.

Review and approval

Human decisions stay assigned and visible.

Exceptions

Incomplete or unusual cases are separated from the normal flow so they can be handled deliberately.

Financial preparation and archiving

Approved records move into the next financial and record-keeping steps.

Outgoing invoices

Outgoing invoice work follows agreed status, ownership and record keeping.

Technology context

Use the tools that fit the process.

Microsoft 365, Power Platform / Power Apps, workflow automation and document-processing components were used where they fitted the process.

What mattered was making status, approvals and exceptions visible enough that people could see what still needed attention.
